Bulk add to workflow, add/remove tags, and export

How to enroll a batch of contacts into an automation, bulk-apply or remove tags, and export a selection to CSV.

These three bulk actions — add to workflow, tag management, and export — are the ones you'll reach for most often, because they're non-destructive: none of them deletes anything, and all three are easy to reverse or repeat if you get the selection wrong.

Bulk add to workflow

Use this to enroll a batch of contacts into an automation without waiting for a trigger to fire naturally — useful when you're launching a new nurture sequence and want to backfill everyone who already qualifies.

  1. Select your contacts — ideally from a smart list built specifically for this purpose, so the criteria are visible and repeatable.
  2. Choose Bulk Actions > Add to Workflow.
  3. Pick the workflow to enroll them in.
  4. Confirm. Each contact enters the workflow at its starting point, exactly as if they'd triggered it individually.

Warning: Double-check the workflow before confirming. If it includes an immediate email or SMS step, every selected contact receives that message the moment they're enrolled — there's no delay to catch a mistake. Preview the workflow's first step, not just its name, before running this against a large list.

Bulk add or remove tags

Tagging is the most common bulk action, and it's worth doing deliberately rather than ad hoc, since tags drive automations and segmentation elsewhere.

Adding tags in bulk

  1. Select your contacts.
  2. Choose Bulk Actions > Add Tags.
  3. Type or select one or more tags — you can apply several at once in a single action.
  4. Confirm.

Removing tags in bulk

  1. Select your contacts.
  2. Choose Bulk Actions > Remove Tags.
  3. Either pick the specific tag(s) to remove, or check Remove all tags to strip every tag from the selected contacts at once.
  4. Confirm.

Tip: "Remove all tags" is powerful and easy to fire against the wrong selection. Reserve it for genuine full resets (like clearing test data), not routine cleanup — for anything else, remove the specific tags that no longer apply and leave the rest intact.

Bulk export

Use export when you need contact data outside the platform — for a spreadsheet review, a report for someone who doesn't have account access, or a backup before a risky bulk change.

  1. Select your contacts (again, a smart list keeps this clean and repeatable).
  2. Choose Bulk Actions > Export.
  3. Confirm which fields to include — you generally don't need to export every field on the contact, just the ones relevant to why you're exporting.
  4. The export generates as a CSV you can download once it's ready.

Tip: Export the exact selection before running a risky bulk action — a bulk delete, a bulk tag removal, a bulk merge — so you have a backup of the affected contacts' data if something goes wrong. It costs a minute and it's the cheapest insurance available.

Checking what happened

All three of these actions log to the Bulk Actions dashboard the same way any other bulk action does. Click Show Stats on the entry to confirm the count that was actually processed matches what you expected — a mismatch (fewer contacts processed than selected) usually points to a filter or permission issue worth investigating before you assume the action fully completed.

What "done" looks like

After a bulk tag or workflow-enrollment action, spot-check two or three contacts directly on their record to confirm the tag or enrollment actually landed, and check the Bulk Actions stats for the full count. After an export, open the downloaded file and confirm the row count and columns match what you expected before you rely on it for anything downstream.

Frequently asked questions

Can I add multiple tags in one bulk action?

Yes — add every tag you want applied in the same action rather than running it once per tag.

Does bulk-enrolling a contact who's already in the workflow cause a problem?

Most workflows either skip contacts already enrolled or re-enroll them depending on the workflow's own re-entry settings. Check the workflow's re-entry rule before a bulk enrollment if duplicate enrollment would cause a duplicate message.

Is there a limit to how many contacts I can export at once?

Large exports may process in the background rather than downloading instantly — check the Bulk Actions dashboard for the export's status if it doesn't appear immediately.
